Technical Specs FAQS

Do I need to be in QuickBooks to run TBX?
Yes, you will need to be logged into the .QBW file and logged in as "Admin," if there are multiple users set up.

**  VERSION 2010 USERS -
The QuickBooks should be open in the background when you start TBX.  Some 2010 clients have reported error messages stating that the QuickBooks file is in use. We have found that minimizing TBX and then closing the QB company (not the program) and reopening the company file corrects the problem.  We are trying to resolve this annoying work-a-round.

What columns are produced in the comma delimited file?
"Without classes as Departments:"
Acct Number, Acct Name, Acct Number (without class code)and Amount
"With class codes as Departments:"
Acct Number, Acct Name, Class/Dept code, Dept code w/Acct Number and Amount.

Note that once in a delimited file, you may delete any columns not needed by your target software.

What other options are available?
You may export either accounts with balances or all accounts in the chart even with zero balances.

What if my clients use alpha class codes and my software uses numerical department numbers? You will be provided with a cross-reference table where you must replace the class codes with the same name, another name or any number.

Will it handle Sub-classes?
The system will NOT work with Sub-classes. Sub-classes will need to be made regular class codes before export.
Another current limitation is that ALL class codes (even unused codes) need to by activated in order for the export to work.  There can be no inactivated class codes if requesting a Trial Balance by Class code.
Again, ALL class codes must be active and sub-classes made into regular classes for the TBX program to find them.

What do you use TBX for?
We find that private compaies use TBX to get information into Excel for anylytical purposes and to transmit year end figures to their auditors and tax accountants, but it is also perfect for CPA firms to create import files for programs such as Creative Solutions Write-Up CSŪ or  ProSystems fx Engagement.

What a great tool.  I can finally get a QuickBooks trial balance with the account numbers in its own field.  Thanks!
